A volunteer agreement helps clarify that volunteers are contributing their time voluntarily, sets expectations, and protects the Foundation’s reputation and confidential information. It also makes clear that volunteering is not an employment relationship.

1. Voluntary Service
   • Volunteering with PRAJAYA Foundation is entirely voluntary.
   • Volunteers are not employees and are not entitled to salary, wages, or employment benefits.
   • Volunteering does not grant membership, voting rights, governance roles, or legal status as a member of PRAJAYA Foundation.
2. Eligibility
   • Volunteers must provide accurate personal information.
   • Those below 18 years of age must obtain parent/guardian consent.
3. Code of Conduct
   • Treat everyone with dignity, respect, and professionalism.
   • Maintain discipline and uphold the values of PRAJAYA Foundation.
   • Do not engage in discrimination, harassment, violence, or abusive behaviour.
4. Compliance
   • Volunteers shall follow the Foundation’s policies, instructions, and safety guidelines during all activities.
5. Confidentiality
   • Any information relating to beneficiaries, donors, volunteers, trustees, or the Foundation shall remain confidential unless authorised.
6. Use of Name and Logo
   • Volunteers shall not use the Foundation’s name, logo, identity, or social media accounts without written approval.
7. Social Media
   • Posts related to PRAJAYA Foundation should be truthful, respectful, and consistent with the Foundation’s values.
   • Confidential information or misleading content shall not be published.
8. Identity Card
   • Volunteer identity cards (when issued for official duties) remain the property of PRAJAYA Foundation and must be returned upon request or when volunteering ends.
9. Attendance
   • Volunteers should inform their coordinator if they are unable to attend any assigned activity.
10. No Financial Authority
    • Volunteers shall not collect donations, receive money, sign agreements, or make commitments on behalf of the Foundation without written authorisation.
11. Safety
    • Volunteers must follow all safety instructions and immediately report accidents, injuries, or unsafe situations.
12. Photography & Media
    • The Foundation may photograph or record volunteers during programmes for educational, promotional, or reporting purposes unless the volunteer has requested otherwise.
13. Intellectual Property
    • Any reports, designs, photographs, videos, educational materials, or other work created for PRAJAYA Foundation during volunteering belong to the Foundation unless otherwise agreed.
14. Conflict of Interest
    • Volunteers shall disclose any situation that may affect impartiality or conflict with the Foundation’s interests.
15. Termination
    • A volunteer may resign at any time by providing written notice to the Foundation.
    • PRAJAYA Foundation may suspend or terminate a volunteer’s registration for misconduct, policy violations, misuse of resources, or actions that harm the Foundation’s reputation.
16. Liability
    • Volunteers participate at their own risk. The Foundation is not responsible for personal belongings lost or damaged during volunteer activities, except where required by law.
17. Data Privacy
    • Personal information collected during registration will be used only for volunteer management and Foundation purposes and handled responsibly.
18. Certificate of Volunteering
    • Certificates or recommendation letters are not automatic and may be issued based on attendance, minimum service, contribution, conduct, and completion of assigned responsibilities.
19. Amendments
    • PRAJAYA Foundation reserves the right to amend these Terms & Conditions at any time. Updated terms will apply from the date of publication.
20. Volunteer Screening
    • PRAJAYA Foundation reserves the right to verify the identity, qualifications, references, and background of volunteers wherever necessary.
21. Assignment of Duties
    • The Foundation may assign, modify, or withdraw volunteer duties based on Foundation requirements, skills, performance, or conduct.
22. Working Hours
    • Volunteers are expected to adhere to agreed schedules and maintain punctuality. Repeated unexplained absence may lead to suspension of volunteer status.
23. Dress Code
    • Volunteers shall wear modest, culturally appropriate attire or prescribed dress code/identity card during official programmes whenever instructed.
24. Child & Vulnerable Adult Protection
    • Volunteers working with children, women, senior citizens, or vulnerable persons shall follow safeguarding guidelines and shall never engage in inappropriate physical, verbal, or online conduct.
25. Anti-Bribery & Gifts
    • Volunteers shall not solicit, accept, or offer gifts, commissions, or any personal benefit while representing PRAJAYA Foundation.
26. Political & Religious Neutrality
    • Volunteers shall not use PRAJAYA Foundation activities to promote any political party, electoral campaign, or religious conversion.
27. Anti-Discrimination
    • The Foundation provides equal opportunities regardless of gender, caste, religion, language, disability, age, or economic background.
28. Substance-Free Environment
    • Possession or consumption of alcohol, tobacco, narcotic drugs, or intoxicating substances during Foundation activities is strictly prohibited.
29. Digital Communication
    • Official communication with beneficiaries or partners shall only be through authorised channels where applicable.
30. Equipment & Property
    • Volunteers shall use Foundation equipment and property only with prior written permission/authorization and return all materials issued to them upon completion of service.
31. Reimbursement Policy
    • Volunteers are not entitled to reimbursement unless expressly approved in writing before the expenditure is incurred.
32. Emergency Medical Consent
    • In case of an emergency, the Foundation may arrange immediate medical assistance. Any medical expenses remain the responsibility of the volunteer unless otherwise approved.
33. Insurance
    • PRAJAYA Foundation does not provide health, accident, or life insurance coverage for volunteers. Volunteers participate at their own risk.
34. Non-Representation
    • Volunteers shall not speak to the media or make public statements on behalf of PRAJAYA Foundation without written authorisation.
35. Grievance Redressal
    • Volunteers may report concerns, misconduct, harassment, or grievances to the designated Volunteer Coordinator or Trustee without fear of retaliation.
36. Volunteer Categories
    • The Foundation may classify volunteers (Event Volunteer, Programme Volunteer, Skilled Volunteer, Professional Volunteer, Student Volunteer, Digital Volunteer, etc.), with additional responsibilities applicable to each category.
37. Performance & Recognition
    • Volunteer continuation, leadership roles, recommendation letters, awards, and certificates are based on attendance, discipline, contribution, and adherence to Foundation values.
38. Governing Law & Jurisdiction
    • These Terms & Conditions shall be governed by the laws of India. Any disputes shall be subject to the jurisdiction of the competent courts in Chennai, Tamil Nadu.
39. Declaration
    • By registering as a volunteer, I confirm that I have read, understood, and agree to abide by these Terms & Conditions and the values of PRAJAYA Foundation.
